Dates when transfer service is provided: 06-14 September, on all other dates transfer from/to airport are to be arranged at your own cost
Upon arrival to Budapest, look for a host/ess with a BOR 2025 Hungarian Wine Summit sign in the arrivals hall, they will guide you to a driver who will take you to the Mercure Budapest City Center hotel (unless otherwise discussed).
Upon departure from Budapest, Judit BENKE has already sent you or will be sending you detailed information on when your transfer leaves from the hotel – guests will be grouped to ensure departure from the hotel approximately 3 hours prior to their flight departure time.
Judit BENKE (hospitality@lounge.hu) has been in contact with every guest regarding their transfers – she will be on standby, if your host/ess at the airport has difficulties connecting with you

Hotel Check-In Information
Hotel Check-in administration can be completed upon arrival to the hotel
Access to your room: by default at 15:00
Earlier access to your room is subject to availability on the day of your arrival and has an additional cost, to be paid by the guest if requested (check-in until 8:00 am – 175EUR, from 8:00 to 15:00 10EUR/hour but only if there are available rooms). Please, inform Judit BENKE at hospitality@lounge.hu if you wish to check-in earlier, they will assist you, but the service is subject to availability
Luggage room: You can of course drop off your luggage, and enjoy the city until 15:00 on the day of your arrival
A deposit of 50 EUR by credit card or cash needs to be made at check-in, to ensure all costs that are incurred in additional to the hotel stay and breakfast are covered by the Guest (e.g. mini bar consumption). After check-out the 50 EUR amount will be unlocked in 1-2 days.  Generally accepted cards are: VISA, Mastercard
FYKA Wines of Hungary covers the cost of your hotel room and breakfast – all other costs are to be paid by the Guest.

Wines of Hungary Event Check-In
A member of the Wines of Hungary team will welcome guests in person on the main arrival days of 07-Sept and 09-Sept in the Hotel Lobby

BADGE – please have it with you at all times during the event
PRINTED Event Journal – please bring it with you to all daytime trade events and study tours, as it contains all key information about the event and is a great place for all your notes about the great wines and wineries you will discover

What should I do if my flight is DELAYED?

What should if I MISS my flight?
If you miss your flight because it was impossible to reach, please contact the Airline’s customer service desk. If you miss your flight by your own mistake, please contact the Airline’s customer service desk. Also please connect with Judit BENKE hospitality@lounge.hu to discuss next steps, and see if/how new tickets could be issued.

EVENING PROGRAMME CANCELLATION due to late arrival (07/09-SEPT)
If your flight arrives to Budapest Airport after 18:00 on 07-Sept or 09-Sept, you unfortunately won’t be able to join any optional evening experience groups, we have had to cancel the programme for you.
In this case, a sandwich dinner will be provided in your hotel room.
If you wish to explore other dinner options, feel free to do so (at your own cost).

PACKING LIST & DRESS CODE
Dress code: Business casual for the Budapest events on 10-11 September
On the study tours wear whatever you are comfortable in as you will have very insightful, but long days.
Swimsuit & slippers & personal towel – especially if you registered for the Spa & Bubbles programme, while some wine region hotels also have wellness facilities you may be able to enjoy depending on the group’s schedule!
Closed comfortable shoes for walks in the vineyards, cellars… even mangalica farms!
Weatherproof jacket/coat for chilly September evenings and rainy days
Umbrella – We have a saying that it always rains on the week of the Budapest Wine Festival – hopefully not this time!
Business cards – while we will be using the vFAIRS mobile app to connect, it is still a good idea to bring plenty of “classic” business cards

Is lunch provided on my arrival day?
Lunch is not provided by default. Drop off your bags at the Mercure Hotel and enjoy your free hours in Budapest, before your Hungarian Wine Summit experience begins.
Your programme on the arrival day (by default 07-Sept of 09-Sept) starts in the evening, with an optional evening experience and dinner (if you have registered to attend one).

Hotel Change between Budapest and Study Tour days
Please note, you need  check-out of your Budapest hotel room on the morning of each study tour (08 Sept and/or 12 Sept mornings)
Upon arrival back to Budapest, you go through a fast track check-in  (09 Sept and/or 13 Sept evenings) (if applicable), in time to reach the 19:00 departure time of the evening experiences.
Large luggage you do not need for the 2-day study tours can be stored safely in Deak room on the 2nd floor of Mercure Budapest City Center, dedicated to the guests of HWS  while you are travelling outside of Budapest. Be sure to drop off your bag first, and check out only after, because you need your hotel room key card to access the Deák room too.4. Study Tour – Hotel & Breakfast in the wine regions
On the study tours, accommodation is automatically reserved in the wine regions for the nights of 08 September and/or 12 September (if applicable).
For some study tours the group is split between 2 different hotels (Group 1 Tokaj, Group 6 Tokaj, Group 7 Villány) – your WOH host will advise, which hotel you are staying at exactly.
Breakfast is served from 7:00 at most of the wine region hotels.
Your Guide and WOH host will advise on the exact departure time from the hotel  on Day 2 of your study tour.

BUDAPEST Optional Evening Experiences (07/09/13-Sept)

23:00-24:00 Dinners will end in the late evening, so be sure to bring a warm coat/jacket along to your evening programme
OPTION to return back to hotel with your guide and event manager – or stay out in the city, and arrange your own transportation back to the hotel (at your own cost)
If your study tour group’s arrival is delayed on 09/13-September, a WOH host will wait for you in the Budapest Mercure Hotel and accompany you to join the appropriate group.

Spa & Bubbles – What to prepare?
Swimsuit, slippers, regular towel are mandatory and are not provided! No need to wear a swimming cap.
You CAN NOT purchase swimsuit, slippers, and towel at the bath
You CAN rent a terry bath towel (1300 HUF/towel – to be paid on the spot by the Guest if requested)
Sauna towels, shower gel, shampoo are provided free of charge.

Allergen considerations at the Evening Experiences
We were not able to take allergen information/dietary restrictions into account when arranging the wine bar snacks during the first part of the evening experiences. Please consult your group’s event manager if you are uncertain about any of the foods proposed.
Intolerances/dietary restrictions were paid careful attention at each dinner location – please be sure to signal to your guide and event manager, if you have indicated special dietary needs in your event registration.

10 coupons will be provided to enjoy a tasting at the stands of our winery partners – explore at your own speed!
Further consumption at winery stands and vendors is to covered at your own cost. The event is cashless, so you can pay by contactless Mastercard/Visa cards, or request an event specific top-up card (FestiPay).
We will have Wines of Hungary VIP base to refresh and grab a coffee before you continue on to the next wine. Your WOH hosts will be able to assist you throughout the evening.
24:00 Closing hour of the festival
Transportation back to the hotel is not arranged. Grab a taxi, or simply take a magical nighttime walk across the Danube, whenever you feel like returning back to Pest.

BANK CARDS/CASH
What definitely works: VISA, Mastercard. Contactless cards are very widely accepted, but if you want to buy a peach from a local vendor at the market – it’s a good idea to have a some cash on hand.
American Express is usually NOT accepted
The currency is Hungarian Forints (HUF) – it is best to exchange money in the city center (not at the airport). The most convenient currencies to exchange to HUF are EUR and USD. Do go to an official exchange office/hotel/bank, or withdraw cash from an official bank ATM (OTP, K&H, UniCredit, Raiffeisen etc.).
Cash Converter ATMs charge very high fees – avoid them if possible.

VFAIRS Event Application – To be Downloaded by All Guests
QR code registration for all events: We will need All Guests to have this app installed and be logged in, as we will use it to complete QR code registration upon your arrival to each event
Please download the MOBILE application from the AppStore/Google Play store by looking for “vFAIRS” (the app only works well on mobile phone!)
Login email is the one you registered with. Password – if you don’t remember the password you registered with, just hit “Forgot password?”
